Client Services Assistant – (Clerical Administrative Non-Licensed)

Job Description
Job Functions: 
This position will be responsible for pre-meeting preparation and post-meeting follow through.  This includes but is not limited to preparing meeting agendas,  establishing and updating iTrack and Riskalyze, meeting room set up, webinar arrangements, running client related reports and assigning other meeting prep items as needed.  The client services assistant works with the entire team to make sure that the client is treated professionally and respectfully.
 
Skills:
  • High School diploma or equivalent
  • Office clerical or administrative support roll with Technology experience
  • Ability to prioritize and complete detailed work in a time sensitive, fast paced environment
  • Professional, positive, and friendly demeanor with a strong understanding of confidentiality
  • Highly organized Team Player
  • Strong follow through
Duties:
  • Scanning, uploading and indexing paperwork into Redtail.
  • Creating meeting packets for upcoming meetings including:  CMA’s, Prospect folders, Advisory worksheets, statements, Albridge reports, LPG’s, iTrack, Riskalyze, stock reports and anything else that is deemed necessary by the advisors.
  • Meeting with Advisors weekly to review meeting prep items, assign, delegate and work with the team regarding items that need to be completed.
  • Monitor advisor emails to improve efficiency.
  • Preparing Summary Letters
  • Dealing with people professionally when greeting them upon arrival in the office and/or while answering the phone.
  • Computer system backups and updates
  • Assisting with marketing ideas, tasks, and events and the daily opening and closing jobs of the office.
  • Assisting the team as needed with other miscellaneous office duties
